Busy Work & BSOs


Laptop CloseupThere’s a big difference between being busy and being productive. Every day people are busy with irrelevant things. Things that don’t directly line up with their big picture. Sometimes the busy work comes into play because you’d rather procrastinate than do the task at hand. The things that keep you busy and unproductive are the unnecessary meetings and those without an agenda. The trivial stuff, the things that seem more pleasant to do and some email and phone calls all fall into this category. These are the things that keep you from the things that you really should be giving your time to.

Then there are those time sucking BSOs (Bright shiny objects) that are notorious for leading you astray every day, all day. You know how it is…you’re working on something and then you get a thought about something else that needs to be done, or an awesome idea that you just have to bring to life and you take that detour. You follow the thought or that idea and before you know it an hour or more has gone by and you haven’t done a thing when it comes to the task you originally started with. Ugh!

So how do you bust the busy work and the BSOs? For starters, eliminate the busy work by getting focused on your priorities. Determine what they are based on your values and the things that will help you manifest what you’re up to. Let go of the rest by delegating it or deleting it altogether. The key here is to move away from the things that don’t matter by creating a personalized productivity system that will get you through your days. Create new habits like regular planning that will help you move away from putting out fires and constantly dealing with crises. I mean, who wants to put up with that?

If you’re guilty of letting those BSOs lead you in an entirely different direction, grab a note book or pad of paper that you can keep on your desk or work table. Make sure it’s portable so it can go with you on those days you work from your local coffee shop. The next time a BSO strikes, resist chasing it down and jot it down instead. Take a quick moment to write down the thoughts you’re having or the other things that come to mind that have to be done. Do the same with the ideas that come to you which should only take you a quick minute or two. Then cross of the items you’ve transferred and get back to what you were doing. At the end of each day, or at least a few times a week go to your notes and pull the additional to-do items from your notes and into a fitting spot in your calendar or to-do list. Take those great ideas and add blocks of time to work on them and bring them to life. Each time you come back to your notebook you’ll be able to tell where to start so you won’t lose anything and you’ll maintain your focus which will help you get things done.

 

I Want My Hour Back!


hourglass green sandToday Daylight Saving Time started and the first thing I remember saying to myself this morning is, “I want my hour back.” I wanted back the hour that was snatched from me. That hour of peace and quiet for my Sunday. Then I heard my own voice in my head say the same thing I tell my clients, “Remember that time doesn’t exist anyway, and you have all the time there is.” All I could do was laugh.

If you’re like me you may be wanting your hour back too, but like I reminded myself, we have all the time there is and since time doesn’t exist, there’s really no loss. We get to create what time is for us and learn how to walk that fine line between knowing that it’s just a concept and operating in a world where people allow it to run their lives. When we remember that and take control of our days, there are ways we can, so to say, add time back into our day.

  • Get & Stay Focused-Staying focused is a primary key when it comes to your day to day to-dos. Once you have clarity, you can create the vision and once you have the crystal clear vision, you can focus and stay on point. It becomes much easier to know what your priorities are because your vision is clear…you know what you’re up to and what’s important.
  • Let Go-Delegate the things that don’t require your expertise to do. Make the time to explain the how-to hand it over to a highly capable party and focus on the things that only you can do. Also let go of the things that aren’t important in relation to what your focus is. Those tasks that have been on your agenda for a while that you just can’t seem to get to, so they keep getting moved, or those things that you do as a way of avoiding what really needs to be done.
  • Make Your To-Be List-You’re so caught up in the things that have to be done that you lose your focus and forget to think about who you’re being. Before you can even think about what there is to do, you’ve got to take a look at who it is you need to be. Being an entrepreneur requires you to be bold, tenacious, fearless just to name a few ways of being. When you determine what you’re creating for yourself you have to step outside of who it is that you’re usually being, so make your to-be list first.

Putting these things into action can help you get up to two “additional” hours in your day. Get your hour back and then some!

I will become more successful.
I will be more productive.

How many of these sound familiar? Every year, month, week, and even day people make statements like those as a way of setting goals that they often don’t accomplish. If you’re like most, in the beginning you have all the momentum in the world, yet somehow by the end of January you find that you have swept them under the rug.

This tends to happen because you’re not setting your goals, in what I consider to be the “right way.” Actually, what most consider goals really aren’t. Typically what most people create are basic statements, which are fine, but they need more muscle to really go the distance. There’s a process I encourage you to use that can help you set as well as accomplish your goals.

  1. Put yourself at the core of what you create-When creating your goals it’s important that you put yourself at the core of what you create. If you were to go through your list of goals and ask yourself why you want to accomplish them, your answer should be because it’s something of value to YOU. When you create goals around others, they don’t become a priority to you, and you find yourself working towards it less and less.
  2. Get emotional-Envision what you want the end result to be. Think about what areas of your life reaching your goal will impact and how you want things to look; most importantly, think about how you want to feel. Ask yourself what internal or emotional experiences you want to have and let that factor into what you’re creating.
  3. Instead of creating from ego, create from the spiritual side of things-Rather than setting goals that would seem to bolster your ego create from within. What things are you led to do? What calls or speaks to you? Use meditation as a means of discovery. Connect to Source and see what’s revealed. Journaling is another method that proves to be quite effective.
  4. Set your intentions-If you reread the list I mentioned earlier, you’ll notice that they are very vague. This is where making them S.M.A.R.T. comes into play. Making them specific, measurable, achievable, realistic, and time bound makes them solid. It turns vague statements and resolutions into goals.

After you take these steps, determine how you will reach each goal by creating a plan and remember the “by when” date you gave to each as you do. The more specific you are with the details of the plan the more likely it is you’ll reach the goal.  If you want to lose weight, instead of “I will lose weight” your goal would be,  “I want to lose 20 pounds by April 1st.” This is short and sweet, but it’s S.M.A.R.T. Some of the steps you might take to get there are:

  • Drinking at least 8 glasses of water a day
  • Eating whole foods and cooking at home 5 times a week
  • Exercising for a minimum of 30 minutes every day

As you can see, taking that vague statement and giving it some depth it becomes more specific and clear. It also makes it easier to add the steps to help you get there. I want you to truly look at these 4 steps, and use them to create your list of goals for the year. (Just because it isn’t the first of the year doesn’t mean it’s too late!) Remember to make them S.M.A.R.T, as those who do are more likely to be in the 8% of people who actually accomplish what they create. relaxing, me time, time for myselfIf you’re like more women business owners when you look at your daily agenda, you find yourself at the bottom of the list or, you’re not even there. You’re caught up in all there is to do and your clients, children, significant other and everything else make it to your agenda before you do. When self care goes out the window it can leave you feeling tired, frustrated and stressed out. This is why it’s so important to make sure that you get time to yourself and that you are at the top of your list of priorities. It’s time to move away from being caught up and shifting things to create the space for you in your life.

Life moves at a fast pace these days and your plate is full, so it becomes easy to forget to recharge. Giving time to yourself will relieve the frustration and the stress, which is one way to open the door for getting things done. It’s not a luxury, it’s a necessity and will give you the energy to get through your days mentally and physically. Giving time to yourself in the morning with a routine that’s a fit for you will set the tone for your day. The most productive people in business have a designated morning routine. Making time for breaks during the day just to breathe will help you get present, clear your mind and it increases productivity level and creativity. You’ll come back refreshed, recharged physically and mentally ready to take on the rest of the day. Refueling your body with the right nutrients during the day will do wonders for getting to the bottom of your to-do list too. Imagine what doing this on a regular basis will do for your days and, more importantly, for you. It’s possible to do and you can start right now by looking at your calendar and adding yourself to your daily agenda. Carve out time in the morning, breaks during the day and time to relax and unwind at the end of your day. Create what works for you, get your me time into your calendar, with a reminder and stick to it. It will boost your productivity.

 

 


pocket-watchWhen people are looking to find out what things are wasting their time, I tell them to start by keeping track of their time. I usually give them this tool. Along with it they get a really simple process to follow each day. The biggest challenge when it comes to tracking your time is making the space to do so. It’s really easy to get caught up in what you’re doing for a few hours and then suddenly realize that you didn’t write down the last couple of things you did or you look at your log at the end of the day and see that you didn’t record the interruptions you had that day. Before you write anything in your time log, you’ve got to create the space for what you’re about to do. That has to be part of the process, or you won’t get the best results.

Here’s my process:

  • Know why you’re tracking your time (You’re looking to see what you’re procrastinating on, identify time wasters, etc)
  • Set your intention for the outcome you desire
  • Start your day by acknowledging that you’re going to record what you do as you do it
  • Record each activity and its level of importance (If you’re using my tracking tool)
  • Each time there’s an interruption, make note of it
  • Include the breaks you take-intentional or not
  • Keep tracking for about 5 days
  • Look at each day’s log to see what it reveals

Once you see what’s in play you can make the necessary shifts to shore up your daily habits to get and stay productive. Creating and holding the space to be consistent with your tracking for that week is crucial for getting the entire picture of what’s actually going on. Right now choose when you’re going to start tracking your time, get your log and dive into the process.
