CleaningIncluded in the non-supportive habits that I encounter with clients, is the habit of dumping things onto to-do lists and calendars. What happens is things come to mind that have to be done or added to your calendar and you cram them in without even thinking about where they should go or if they even fit.  A lot of times it’s because if you don’t, you won’t have a way to remember them.

We’re about a month into Spring and with the season comes the traditional “Spring cleaning” and truthfully, this a good time to clean, purge and organize your office too.  If you didn’t purge and archive files at the end of the year, spring is a good time to do so.  It’s also a good time to look at the systems and routines that you have in place to support you in your day to day activities.  Your office isn’t the only thing that can get cluttered and disorganized.  The same can happen to your calendar and your to-do list.

If you look at your calendar and don’t see time where you’re working on things that are relevant to your business goals and projects or meetings that are related to what you’re up to or where you’re going, then it’s time to clean up your act.  Do you see blocks of me time or are you not even on your own calendar?

Spring clean your calendar by getting rid of the things that aren’t relevant.  If something isn’t relevant it’s not worthy of your time.  If you’re overbooked, reassess what’s there. Everything that you have scheduled time for should have a related priority.  Allow those priorities to determine whether or not the items remain on your calendar.

To continue, look at your to-do list.  Chances are it’s pretty full. Weed out the things that aren’t important and if there are things that you can delegate do it! The things on your to-do list should also have a level of priority assigned to them before things make it to your list. Not having a priority can cost you precious time.

These quick steps will declutter your calendar and your to-do list.  To keep them that way planning is key. As you plan, keep your goals top of mind and don’t allow anything that’s not related to find its way in, and don’t over commit yourself.  Know what you are capable of handling and be realistic.  Before you commit to something, make sure that it’s relevant and that you have the time to dedicate to it.  These things will greatly assist you in managing your work load and keeping extra hours and clutter off of your agenda.

 

 


Being organized means more than just having an organized space that supports you.  It means that your time is organized well too.  A well organized space has a place for everything, everything in its easily retrievable place and systems that keep you on point and organized.

The example that I like to use to illustrate what I mean by that is a well organized closet.  Think about an empty closet.  Within it you have a limited amount of space to place your items.  You have at least one rack to fill and shelves as well.  Each hanger on the rack can hang a specific item.  If it’s overloaded, it’s likely that something is going to fall off of the hanger.  Additionally, only a set number of hangers are going to fit on each rack.  To better store items and maximize space you might even consider adding boxes or other storage containers which also have limited space.

Organizing time is like organizing space.  Each day is a container; a storage unit that has a definite capacity.  Just as you have a limited amount of space in your closet, you have a limited number of hours in every day.  What are you doing with the items you add to your calendar?  Are you randomly jamming them into your day at any available point in time like you might jam items into your closet?

Obviously, this is not the way you want to organize your calendar.  You want to strategically place items into specific slots of time just as you would want to place items into your closet in a way that they are easily visible and easily accessible.

When you go to add something to your calendar, stop for a moment and think about where it logically fits.  Are you getting ready to place it into a slot that allows you enough time to finish it, or are you getting ready to place it on top of something else simply because you don’t know where to place it or don’t have anywhere else to place it.  If your calendar is that jammed, it’s time for a complete overhaul.  Make the time to reorganize your calendar like you would reorganize your closet.  Look at everything that you have on hand as well as the time that you have available (the space) to get things done.  Are there things that you can get rid of or delegate?  Are there things that no longer fit?  Once you’re done reviewing everything, only place the remaining items on your calendar and organize them just as you would a closet.  Additionally, be realistic about the amount of time that things are going to take you to complete.  Don’t just shove things into your calendar, place things where they fit.  If they don’t fit, find an appropriate place for them.  Doing so has you respect your time.


With the arrival of the warm weather, you’re probably pulling out your spring and summer clothing and putting away the heaver items.  This is one of the times when the closet monster rears its ugly head.  When you bring out clothes for the new season, it’s also a good time to organize your closet.
Take a bit of time to look through what you have and remove the things that you no longer want and no longer wear. Put those items into a bag or box and give them away. Typically we war 20% of the clothes that we have 80% of the time. One simple trick is to turn the hangers around when you return items you’ve worn to your closet. After a couple of months, look to see what you’ve actually worn. On average it’s going to turn out that you’re only wearing about 20% of what you have.

If you do this twice a year, for example now and then again when the cold weather returns, your closet will stay organized and free of items that you no longer wear or want. Here’s a checklist that will help you keep your closet organized and the closet monster away.

  • Install double rods. You don’t have to get out the power drill or call a handyman to add a second rod to a closet. Do it yourself.
  • Add a valet hook. Install a hook for hanging dry cleaning before it goes into the closet or to plan outfits for parties.
  • Toss wire hangers. If you want to prolong the life of your clothes, don’t keep them on wire hangers. Wood is better.
  • Use baskets. Put all out-of-season purses in a basket at the top of your closet.
  • Put jewelry in boxes. Label the boxes by category to rid the clutter from your dresser.

Most people have clutter of some sort, but for some, it’s more of an issue and  seems to be something that just won’t go away. In cases like that, there’s something else running in the background.  No matter how much paper or how much “stuff” you have, believe it or not, your clutter is all about you. You are your clutter and your clutter is you.

This week I’ve focused on resolutions and the process for planning for your new year.  As this year comes to a close, I encourage you to take a look back at what you’ve done.  What have you accomplished?  What happened to the things that you resolved to do at the end of last year?  Did they remain resolutions or did they get transformed into goals and get accomplished?

Be honest with yourself, but don’t beat yourself up either. Everyone wants to be better for the new year. That’s why everyone makes the resolutions for the gym, getting organized, quitting smoking, etc.  The truth of the matter is that so many people have false starts. They have lots of plans, things they want to do or get accomplished in the New Year, but they run out of steam before they get the ball rolling with any real momentum.

What have you done lately?  Did you make resolutions for 2009?  Did you taken action?  If not,  what stopped you? If you expect new results just because it’s a new year, you’re making a big mistake.  To get your desired result, you have to take your resolutions and turn them into solid goals, then develop a plan to carry them out along with the  systems, tools, motivation and support needed to accomplish them.

If you didn’t accomplish everything that you wanted to this year, ask your self why and make a change.  Focus on taking your resolutions to goals and into reality.
