Woman Writing in PlannerOne of the biggest hindrances to getting things done is not knowing your priorities. You’d be surprised at the number of people who don’t know what theirs are and this is where a lot of people get stuck. Time and time again when working with a client and looking at how they go through their days and what happens in the midst of them, it boils down to not knowing what’s important.

If you’re stuck in this spot, I want you to step back and take a deep breath and exhale. Then look at the things you value most. What things matter the most to you? Your children/family? Your health? Each of your values are direct indicators of what your priorities are. One of my top values is my health, because after all if I don’t have that I can’t have much else that I want, which is unacceptable to me. That value transitions into my days as one of my top priorities which is why my vegan diet, a good daily workout and meditation are part of each of my days. Nothing comes before them so they’re on the top of my agenda every day without fail.

Make a list of the things you value then look to see what priorities are related to them. Some values may have more than one. Once you know your priorities, you can compare them to the things you’re doing daily and determine what stays on your list, what gets delegated and what gets kicked off your list.

Keep a list of what’s important handy so that as you move into this new habit of focusing on the important things you have a reminder in front of you about what gets on your list. Being aware of and in touch with your priorities takes the guess work out of things because you already know what’s allowed to hit your to-do list and calendar and what isn’t. The things that fall under this category are the things that you tackle during your Prime Time.™ This is just one way to stop wasting time, take your power back and get things done.

 


To-Do ListThere is always plenty to do. Many people keep those things in their head instead of actually making a list. That’s where they make the first mistake. The place that things on your daily agenda reside shouldn’t be your head. You’ve got to get it in writing, so make your list. Only the things that are deserving of your time should end up on your to-do list. The same things goes for your calendar. Getting through your to-do list can be challenging, but if life is going to work you’ve got to get through it. There are a few key points that will help you establish a new foundation and get through your list daily with ease.

I believe that productivity is all about perspective. What I see is that people automatically hand over their personal power because of how they learned about time. They pick up the linear view where time is limited to a set number of hours and there’s never enough of it to go around. Seeing things through the Time Wielder’s™ lens, time is conceptual with no past, present or future. There is only “now”. Time never runs out because it doesn’t exist. People struggle because they’re trying to manage something that doesn’t even exist. When you approach things from this angle, everything shifts.

Productivity is not a one size fits all kind of thing. It’s individual. It’s time to ditch that mentality and the behavior that goes along with it. You have to look at your personality, or what I call your Productivity Persona™. Who you are, how you operate and relate to time has everything to do with how you get things done. Incorporating that when you start looking at how to achieve a higher level of productivity, can make the difference between whether or not you’re effective.

Ideally, you want to be at a point where you are scheduling your priorities, instead of prioritizing your schedule. What I mean by that is if you know your priorities ahead of time, when tasks hit your calendar or to-do list they already have an assigned priority.  If you get your priorities straight and assign them to your projects and goals, every task related to each of your projects and goals will have the same priority level. If they’re already set, you don’t have to play with your list and decide the priority level of everything on your agenda.

Making the shift in your perspective, taking the personal approach to productivity and knowing and working according to your priorities will make you more effective, keep undeserving and irrelevant things off of your to-do list so that you can work your way through your list, completing the tasks at hand and end up with a life that works.

 


CleaningIncluded in the non-supportive habits that I encounter with clients, is the habit of dumping things onto to-do lists and calendars. What happens is things come to mind that have to be done or added to your calendar and you cram them in without even thinking about where they should go or if they even fit.  A lot of times it’s because if you don’t, you won’t have a way to remember them.

We’re about a month into Spring and with the season comes the traditional “Spring cleaning” and truthfully, this a good time to clean, purge and organize your office too.  If you didn’t purge and archive files at the end of the year, spring is a good time to do so.  It’s also a good time to look at the systems and routines that you have in place to support you in your day to day activities.  Your office isn’t the only thing that can get cluttered and disorganized.  The same can happen to your calendar and your to-do list.

If you look at your calendar and don’t see time where you’re working on things that are relevant to your business goals and projects or meetings that are related to what you’re up to or where you’re going, then it’s time to clean up your act.  Do you see blocks of me time or are you not even on your own calendar?

Spring clean your calendar by getting rid of the things that aren’t relevant.  If something isn’t relevant it’s not worthy of your time.  If you’re overbooked, reassess what’s there. Everything that you have scheduled time for should have a related priority.  Allow those priorities to determine whether or not the items remain on your calendar.

To continue, look at your to-do list.  Chances are it’s pretty full. Weed out the things that aren’t important and if there are things that you can delegate do it! The things on your to-do list should also have a level of priority assigned to them before things make it to your list. Not having a priority can cost you precious time.

These quick steps will declutter your calendar and your to-do list.  To keep them that way planning is key. As you plan, keep your goals top of mind and don’t allow anything that’s not related to find its way in, and don’t over commit yourself.  Know what you are capable of handling and be realistic.  Before you commit to something, make sure that it’s relevant and that you have the time to dedicate to it.  These things will greatly assist you in managing your work load and keeping extra hours and clutter off of your agenda.

 

 


ProjectSuccess-Resize2If you’ve been around for a while you’ve probably heard me say that people cringe when it comes to creating a plan and that some even say it’s a waste of time. Don’t believe the hype! Planning saves you plenty of your precious time and can help keep you from hitting road blocks.

Let’s talk about that plan you’ve created. It might have been hard for you to even do that if you’re one of those people who cringe when they hear the word “plan”, so congrats for getting that done! Your plan might be related to a particular goal, a project or maybe it’s something for a client. Once you’ve got it, you might not know exactly how to proceed. The key is one bite at a time. You take that large meal, so to speak, and break it down into bite sized pieces. In your plan you would have outlined the milestones for each goal or project, and if you didn’t you’ve got to take a step back and do that.

Looking at one milestone, figure out the smaller steps or tasks; the things that need to happen to reach that milestone and add them to your calendar. Putting things on your to-do list is okay if they will take less than 15 minutes, but if they take longer and you don’t have them in your calendar with a set block of time to complete them, you’re asking for trouble. At the beginning of each week, or at the end of the week for the upcoming week, go through this process. It doesn’t take long at all. As you place things on your to-do list and into your calendar, just like eating a meal, you don’t want to bite off more that you can chew. Don’t overload your plate. The other things that have to be done can stay in the fridge until you’re ready for them. Stick to your priorities as you plan. You should have assigned a level of priority to each goal or project when you created it. That allows you to automatically know which related tasks have priority when it comes to scheduling them.

This process, if you’ve created your plan properly, works really well because at this point, your priorities have been determined. Which allows you to focus on them regularly. That’s what gets you where you want to go. This process leaves no room for guessing, because it’s been removed from the equation altogether. You’ve planned your work, now it’s time to work your plan.

 


Gavel & Hour GlassWhen you step back and look at how highly productive people pull it off, you see commonalities across the board. Here I’m going to share my three most important rules for productive people. My list of rules is longer, but these are three of my top rules in my Time Wielder’s™ rule book.

Rule #1: Know your Productivity Persona™ and act accordingly- Let me ask you right now, what do you know about yourself that impacts your approach to getting things done? Do you see the role that your personality plays? Do you have a system in place that was created based upon your personality? Since you’re reading this, I’m guessing that you probably don’t. This is the place to start to gain your new perspective, learn how your personality plays a role when it comes to time, and the pieces that you need to create your own personalized system so that you can get things done and move forward with what you’re up to in the world. Your Productivity Persona™ is the key to discovering how to make time work for you and your own way of getting things done.

Rule #2: Know and stick to your priorities-On a daily basis you have to know what your priorities are and act accordingly. When you don’t know what your priorities are you end up wasting time trying to figure out what to do first, decide what goes on your agenda and you end up adding things that don’t deserve your time. Create your priorities and know undoubtedly what they are. You can get clues about them by looking at your values and how your values flow into your work. Create your list and be sure to prioritize your goals and projects. If you prioritize your goals and projects, you don’t have to figure out the priority of the tasks related to them. Each task gets its priority from the related project or goal. This allows you to schedule your priorities instead of prioritizing your schedule.

Rule #3: Establish your morning ritual-One thing that’s common among highly productive people is that they begin their days early and their mornings include meditation, a workout and a healthy breakfast. My idea of healthy is a green smoothie or something else vegan. You’d be surprised at the boost that it will give you. Add these to your morning ritual. When it’s time to shift into work mode, do so consciously. Look at the day you’ve planned so that you know what’s up for the day is and note your top three priorities for the day. Establishing your morning ritual will definitely have a positive impact on your day.
