work-deskTime is our most precious resource and honestly, you cannot afford to waste it. You aren’t going to get any more time during the course of each day, so it’s up to you to maximize what you have and manage yourself well around it.

I’m sure there are a few things that you can think of right now that are wasting your time every day that you would love to be rid of. Things that have been keeping you from getting it done. I’m going to share five ways that entrepreneurs waste time and give you solutions for moving beyond them.

What are your day to day experiences? Every day there are so many things going on that if you’re not careful, your day will have control of you and you won’t have a say in how anything goes. On a daily basis people are caught up in the everyday to-dos of business and family, multiple devices, overloaded inboxes, tools and tasks, friends, followers, fans and other connections. I’m sure you can you relate to at least a couple of things in that list and that you’ve been in the midst of what I just described.

Of course this is what you want to shift away from, so let me dive into the 5 ways that I see entrepreneurs wasting time.

  1. Doing irrelevant things-Focusing on the mail, some social media, the accounting, the marketing, etc., wastes time and takes you away from the important things. Focus on the revenue generating things and delegate the things that don’t require your specific expertise.
  2. Doing the right things inefficiently. Efficiency is doing things the right way and effectiveness is doing the right things. So here the problem is being effective, but not efficient. Once you know what to do, approach things in a way that lets you be productive. A good example is having a process for repetitive tasks instead of reinventing the wheel each time.
  3. Spending time-If you don’t know exactly where your focus should be, then chances are you’re focusing on the wrong things daily. You’re spending time versus investing it. Identify your priorities so you know what’s important to have your tasks be an investment of your time.
  4. No systems-Lack of systems will not only leave gaps, but will have things falling through the cracks. Systems are composed of tools, processes and people, they don’t have to be complicated. Determine what systems you need and then create each component for each system and implement it.
  5. Technology-Email and social media are two of the biggest time wasters so you need rules for both. Use inbox tools to manage email and set designated times to check it. Have a plan for social media and use it. Delegate a portion of it to make it easier to make your time on social media focused, deliberate and intentional.

Start with one time waster, apply the solution, and then move to another. Keep moving until you eliminate your time wasters.

Let’s talk about your day to day experiences. Every day there are so many things going on that if you’re not careful, your day will have control of you and you won’t have a say in the matter. I’m pretty sure you’ve had the experience that I’m talking about. You’ve got a full day, things that keep popping up and you’re trying to maneuver the landscape of the things on your agenda along with interruptions, social media, multiple devices and the challenges you have. That’s quite a mix and of course this is what you want to shift away from, so let me share a few ways that are probably wasting your time and give you some help with those time wasters.

Doing Irrelevant Things– How much time do you give to the mail, social media, accounting tasks, the marketing, etc? Many are focused on these things  instead of the things that generate revenue. If this is where your time is going, you don’t have much of it to give to your expertise so your focus isn’t contributing to your bottom line. Delegate the things that you don’t have to be the one to do so you can focus on what you’re good at and bringing that to your clients.

Being Effective But Not Efficient-You might be doing the right things, but doing them in an inefficient way. Efficiency is doing things the right way and effectiveness is doing the right things. So here the problem is being effective, but not efficient. You’re on track doing the right things, just not going about them in a productive way. I see this a lot when it comes to repetitive tasks. The things that have to be done daily, weekly and monthly. Each time the wheel is reinvented instead of there being a system for said repetitive tasks. The solution here is to document the tasks so that anyone you delegate them to has clear picture of what has to happen. Create templates or forms to support the process if they’re a fit. Save information needed such as login details and have them readily available. These are things that will help streamline the process.

Technology-Technology is changing every day and honestly I think that the more it advances, the more it consumes people. There are our phones, apps, email and social media that for the most part keep people caught up during the day. First off, open your email when you need to check it and don’t make that first thing in the morning. When you’re done, close it and check it again later. Be sure you designate when you’re checking email and stick to it. Use folders and filters to help sort your email or better yet, try a tool like SaneBox that will keep your inbox clean. Create a social media plan and get someone on board to create and make some of your posts or set them up in something like Hoot Suite so you can cut down on the time you give to social media posting. Of course you don’t want to automate everything.

 


Tasks, technology and perceived lack of time are big contributors to lack of focus and some might even view it as a rare thing or something that’s hard to get, which is understandable considering the number of things begging for your attention these days.  With all of the things craving your attention, it’s easy to lose focus or to switch from one task to another before the first is complete.

There are ways of maintaining your focus throughout the day that will keep you on task and help you in the process of completing the tasks that you have on your agenda for any given day.  Having and maintaining focus starts with planning.  If you’re planning on a regular basis, then you know what you’re doing every day, so when you start your day, you know the tasks for that day, when you’re doing them and the priority for each.  Follow your schedule and the priorities, not the bright shiny objects that arise during the course of your day.  If a new task comes up, make a quick note about what it is and keep moving on the task at hand so that you can keep a steady pace.  Later in the day you can come back to the notes that you have and look to see where those new tasks fit or you can add them as you do your planning.  You may also have to keep a time log to help you see how you’re moving from task to task and whether you’re completing one before you move on to another.  It helps to write things down and to be able to go back and see what you’re focusing on.

In between tasks, or in the process of a larger, more involved task, take breaks.  Get away from what you’re doing and step outside and get some fresh air, walk to the kitchen to get a quick healthy snack, or do something else that will just take a few minutes to help break up your day.  Quick 10 minute breaks will give you a boost of energy to help you stay motivated and will actually increase your productivity and will also fuel your focus.

Technology can be the biggest challenge when it comes to maintaining your focus.  You have email, social media and the internet pulling you in.  Set specific times during the day, I recommend two times each day, to check your email.  Turn the email notification off and only check email at the designated times.  Don’t check it first thing in the morning.  Instead wait until 1.5-2 hours into your day to check it for the first time.  When it comes to social media, have a plan.  Know why you’re using it, when your target market is online, what you’re posting and when you’re posting it.  Include tools like Hoot Suite to make some posts for you so that they go up without you having to stop and make the post.  If you’re using the internet for research or other means, remember what you’re purpose is and stick to it. Additionally, use technology to support you in staying focused.  Incorporate reminders for task start and stop times as well as break times.

If you start using these tips to help you stay focused and stick to them by making them habits, each will support you in staying focused and feeding your productivity.


Is Technology Wasting Your Time?

I know that one of the biggest time wasters for people is technology.  As much as things are created to help us, technology is a big hindrance for many people and can lead to a great amount of your time being wasted.  Using technology in a way that supports you can increase your productivity.  The day-to-day things that end up on your list can get out of control, so it’s important to keep it lean.  Long story short, items make it to your to-do list as a result of the larger items on your master task list.  You want to be sure that you carefully place things on your to-do list.  If your time management personality is a fit for a digital tool, there are a few top pick electronic tools that you might want to consider to help you increase your productivity.

It seems that every five minutes or so there’s some new digital tool or app that comes out, so there are plenty of them out there which makes it hard to choose or find one that works for you.  Here are a few that seem to get rave reviews:

Wunderlist

  • Wunderlist is produced by a Berlin based company and passed over a million downloads in March 2011, and is now available on almost every platform—windows, iPad, iPhone, Android, Mac.
  • Separated from the pack with its design, simplicity, and effectiveness.  Simple enough to use without trying, quickly enter your tasks and powerful enough to support you.  It’s not complicated to use, captures what you need to do right away and keeps important things front and center.
  • There’s a balance between its functionality and its features.  It gives you the ability to sort tasks into multiple lists, set due dates and “Star” particular tasks

2Do for iPhone & iPad
2Do is a feature rich to-do app that runs on both iPhone and iPad.  Great graphical interface, can setup my tasks in a simple yet powerful layout.

  • This tool stands out from the crowd with its fancy graphical user interface.  Esthetically pleasing so it does a great job presenting a pleasing and useful experience.  Other apps have “dayplanner” interfaces, this has been called the most functional, especially true on the iPad in landscape mode.
  • 2Do has plenty of features and can be as simple or as complex as you want.  You do not have use all the functionality, but it is there for power users.
  • Some key features:  The “tabs” feature of 2Do is very powerful.  You can easily set up multiple lists or categories if you choose.  The “Today” and “Starred” tabs let you quickly see a unified list of what is most important.  Quick entry mode, ability to “star” tasks quickly and it syncs to multiple devices

Tooledo

  • This tool pretty much does what a SmartPhone would already do, but it’s good for sharing information if the usual computer sync isn’t right for your situation.  It can be used with BlackBerry, Mac OS, or Android
  • Organize Your Tasks. Use folders, tags, contexts, subtasks and more to organize, search and sort through your tasks.
  • Improve Your Productivity. Toodledo’s hotlist, customizable alarms, and sortable online to-do list will help you remember to complete tasks on-time.
  • Go Anywhere. Get Toodledo on your mobile phone, in your email, on your calendar, integrated directly into your web browser, and more.  It also allows you to collaborate to work with others easily.  You also have the ability to customize and define how you want to view tasks.

Sanebox
“Restores your email sanity” and “Unfiltered email goes in, prioritized email comes out”, are the things that the creators say about this tool.

  • Sanebox works with GMail, Yahoo! Mail, AOL, GoDaddy, Rackspace, Mobile Me and many more
  • Uses sophisticated algorithms to prioritize the email you receive. The important stuff goes straight to your inbox and everything else gets stored in other folders for later.  The calculation of importance is done by the algorithmic engine.  Only the engine looks at the headers of your emails and your social network connections, not people.  Their engineers work on the algorithmic engine not the email.  Your email isn’t viewed/seen by the technology or a human being
  • Safe & Secure.  The program doesn’t look at your emails and uses encryption to protect your data
  • It works within your inbox, so there’s no need for plug-ins or downloads and it allows you to train your inbox, in a sense

Social Media Apps to Manage Posts
I wouldn’t recommend that you automate all of your posts, but take advantage of streamlining your posting with the use of these tools.

Hoot Suite

  • Pretty popular and is great to use to post to your Facebook profile or to Twitter.  You can post right from Hoot Suite without having to sign into Facebook or Twitter.
  • Schedule updates, monitor your mentions, build SM analytic reports, use with BlackBerry, iPhone, iPad, use it for team collaboration, manage multiple contributions ad share data access w/o sharing passwords, assign tasks

Post Planner

  • Post to FB profiles, Fan Pages, and groups
  • Get notifications when your posts publish
  • Publish you photo and videos posts, notes
  • Installs and uninstalls quickly
