To-Do List and Pocket WatchThe list of things to do is so long that it can be difficult getting to the things that really matter. You know what it’s like to have a long list and have more things that need to be added before you can cross off the tasks you already have. Things get jammed up because you’re not organized, don’t know how to manage it all and if you’ve got productivity challenges or habits that don’t support you, it makes it even harder. To the point that you give a lot of time to putting out fires and not getting to what matters most.

Add the velocity of life and it’s even more challenging. Usually, people spend time working on things that are important and urgent because time isn’t given to planning, taking advantage of opportunities, and the all-important, highly avoided recreation and relaxation.

It’s time to dissect, clean up and fine tune your to-do list! Start by looking at everything you have on your plate and the things you would like to place on your plate. Make sure to include the things you’ve been walking around with in your head.

Once you’ve got everything listed, mark each item as something that either has to be done right now or something that doesn’t have to be done right now. As you do, keep in mind that you’re tearing apart your list here. The end goal is to only end up having things that are important left on your list, so this means letting go of all the things that don’t fall under that category.

Next, go back through the list and label each task either important or not important. Be very careful here, this is where things can get a bit tricky. Let go of the notion that everything is important, because it’s not. If something’s not related to your big picture, it’s irrelevant. It might be hard to do what I’m going to tell you to do now, but it’s necessary. Draw a line through everything that you’ve designated to be unimportant. Again, remember that you’re cleaning things up. Once you do, you’re only left with the things that matter.

Now that you have a list of only the important things left, you can see which have to be done right now and the ones that don’t because of the labels you gave them earlier. This is your new, fine-tuned to-do list and these are the things that should get your time. Focus on the things that have to be done right now first, then move to the things that aren’t a “right now” thing.

Moving forward, continue to focus on only the things that are important. Create new habits that have you planning and not waiting until the last minute so you have less fires to put out and things aren’t done in haste. You’ll have to face the daily temptation that will come from the things that aren’t relevant, but stay the course! Celebrate your wins, whether they’re big or small and make time for yourself. Continue to constantly and deliberately choose and remember that your focus is to drop the things that aren’t directly in line with the big picture you’re creating.


To-Do ListThere is always plenty to do. Many people keep those things in their head instead of actually making a list. That’s where they make the first mistake. The place that things on your daily agenda reside shouldn’t be your head. You’ve got to get it in writing, so make your list. Only the things that are deserving of your time should end up on your to-do list. The same things goes for your calendar. Getting through your to-do list can be challenging, but if life is going to work you’ve got to get through it. There are a few key points that will help you establish a new foundation and get through your list daily with ease.

I believe that productivity is all about perspective. What I see is that people automatically hand over their personal power because of how they learned about time. They pick up the linear view where time is limited to a set number of hours and there’s never enough of it to go around. Seeing things through the Time Wielder’s™ lens, time is conceptual with no past, present or future. There is only “now”. Time never runs out because it doesn’t exist. People struggle because they’re trying to manage something that doesn’t even exist. When you approach things from this angle, everything shifts.

Productivity is not a one size fits all kind of thing. It’s individual. It’s time to ditch that mentality and the behavior that goes along with it. You have to look at your personality, or what I call your Productivity Persona™. Who you are, how you operate and relate to time has everything to do with how you get things done. Incorporating that when you start looking at how to achieve a higher level of productivity, can make the difference between whether or not you’re effective.

Ideally, you want to be at a point where you are scheduling your priorities, instead of prioritizing your schedule. What I mean by that is if you know your priorities ahead of time, when tasks hit your calendar or to-do list they already have an assigned priority.  If you get your priorities straight and assign them to your projects and goals, every task related to each of your projects and goals will have the same priority level. If they’re already set, you don’t have to play with your list and decide the priority level of everything on your agenda.

Making the shift in your perspective, taking the personal approach to productivity and knowing and working according to your priorities will make you more effective, keep undeserving and irrelevant things off of your to-do list so that you can work your way through your list, completing the tasks at hand and end up with a life that works.


DontManage-WieldYou may have heard me talk about wielding time if you’re a regular reader or a client. If you haven’t, let me start by saying that there’s a big difference between managing time and wielding it. Since you’re here I would imagine that you’re struggling when it comes to getting things done. You’re running out of day before you run out of things to do. You’re caught up. Caught up in the everyday to-dos and everything that goes along with it, trying to manage family, business and to have a life and time for yourself.

When people are caught up and fed up, their focus shifts to how to make it better, how to get it all done and overall they are looking for a way to “manage time”. The primary challenge with this is that people seek to manage something that doesn’t even exist. Time is a concept; something man created to help him understand and comprehend the physical world as he sees it in his everyday experience. Here you are trying to manage it and it doesn’t exist. This is one reason you struggle. Not only are you caught up, you’re stuck with a perspective that has you think you can control something that’s not real.

Managing time means daily struggle, one size, not so quite fits all solutions, but using them and trying to make them work as best you can because it’s what you’ve got. It means rushing to get things done, and facing challenges like procrastination and multiple interruptions every day without knowing what to do.

So, how to you stop? How to you go from where you are to wielding time? It’s a process that includes shifting your mindset and knowing time is a concept. Start with empowering yourself knowing that you get to create your day. The next step is important. That crucial step is to figure out how you relate to time because productivity is personal. Better yet, dig in deep and discover your Productivity Persona™. Use what you discover to choose a tool that fits you like a glove. Once you have the tool that you’re going to use to serve you on a daily basis, keeping you on track and contributing to your productivity, build your productivity system around it by determining the processes that you need to support you on a regular basis. Detail the steps for the processes in writing. Then figure out who, besides you needs to be part of your system to perform the processes within the system.

In a nutshell, this is your foundation for beginning to make the shift to wielding time™ so that you can get it done. Being in that space of wielding time means that you understand how you personally relate to time; you know what time of day works for you personally and you use it to get to the things on your agenda every day. It means that you’ve taken control; you get to say what time is and you have your personal power back and you’re using it to get it done. Wielding time means freedom, flow and maximum productivity.

Chess&ClockYesterday I was focused on a couple of client projects, some content writing for the rest of the month, and a few webinars I added to the mix. That kind of a day calls for laser focus and staying on point. All day it seemed as though the phone was determined to deter my efforts. It rang, brought me text messages and sounded off with plenty of email notifications, but I won.

Last night while I looked back thinking about my day, the number of calls and text messages that came in really stood out for me and it made me think about something my father once said to me and I had to laugh. What he said was, “Just because the phone rings, doesn’t mean that I have to answer it.” He had made that comment to me when I was about 15 years old after me asking him how he could just sit there, right next to the phone and allow it to continue to ring until someone else answered it, or until the caller hung up. Of course, as a teenager, with her own phone in her bedroom to keep me from missing those “important” calls, I couldn’t possibly relate to his behavior. But now, I see the light.

He was so right, and what a strategic move to employ! People get so caught up in the things that cause distraction and even allow those things to take over and rule their day. If you want to get anything done, you can’t allow things to control or to dictate what you do and when you do it. There are ways of dealing with the interruptions that they bring that will contribute to your productivity and allow you to stay the course. The phone is one of the most popular interruptions that takes people off track any given day. If you’re working on a priority task, that isn’t the time to stop and answer the phone. That’s what voice mail is for. Give yourself permission to let your calls go to voice mail so that you can focus on the task at hand. It’s real easy to do by simply turning the sound or notifications off. Once you’re finished working on that task you can check the voice mail.

Better yet, get strategic and set a regular time to check voice mail and return calls each day. Set that time outside of what I call your Prime Time. Use your Prime Time to focus on the things that require you to be at your best, and save things like phone conversations and email for some point after that time. Doing so will make your day less frustrating and you’ll find that you get a lot more done. I had no idea all those years ago that my dad was teaching me something that would really make sense to me and would be advice that I would pass along to my clients. Just one of the many things I learned from him while he graced this planet with his presence.
