work-deskTime is our most precious resource and honestly, you cannot afford to waste it. You aren’t going to get any more time during the course of each day, so it’s up to you to maximize what you have and manage yourself well around it.

I’m sure there are a few things that you can think of right now that are wasting your time every day that you would love to be rid of. Things that have been keeping you from getting it done. I’m going to share five ways that entrepreneurs waste time and give you solutions for moving beyond them.

What are your day to day experiences? Every day there are so many things going on that if you’re not careful, your day will have control of you and you won’t have a say in how anything goes. On a daily basis people are caught up in the everyday to-dos of business and family, multiple devices, overloaded inboxes, tools and tasks, friends, followers, fans and other connections. I’m sure you can you relate to at least a couple of things in that list and that you’ve been in the midst of what I just described.

Of course this is what you want to shift away from, so let me dive into the 5 ways that I see entrepreneurs wasting time.

  1. Doing irrelevant things-Focusing on the mail, some social media, the accounting, the marketing, etc., wastes time and takes you away from the important things. Focus on the revenue generating things and delegate the things that don’t require your specific expertise.
  2. Doing the right things inefficiently. Efficiency is doing things the right way and effectiveness is doing the right things. So here the problem is being effective, but not efficient. Once you know what to do, approach things in a way that lets you be productive. A good example is having a process for repetitive tasks instead of reinventing the wheel each time.
  3. Spending time-If you don’t know exactly where your focus should be, then chances are you’re focusing on the wrong things daily. You’re spending time versus investing it. Identify your priorities so you know what’s important to have your tasks be an investment of your time.
  4. No systems-Lack of systems will not only leave gaps, but will have things falling through the cracks. Systems are composed of tools, processes and people, they don’t have to be complicated. Determine what systems you need and then create each component for each system and implement it.
  5. Technology-Email and social media are two of the biggest time wasters so you need rules for both. Use inbox tools to manage email and set designated times to check it. Have a plan for social media and use it. Delegate a portion of it to make it easier to make your time on social media focused, deliberate and intentional.

Start with one time waster, apply the solution, and then move to another. Keep moving until you eliminate your time wasters.

 

 


Wasting your time can be pretty frustrating. You really want to get to the things one your list but may not be able to figure out just what’s going on. But before you can get to a space where you’re knocking things off your to-do list left and right, you’ve got to look at what’s going on right now. Where is your time going? What things are stopping you in your tracks or detouring you? To find the answers to those questions, tracking your time is the step to take. It may not be the most fun thing to do, but it will let you see just what things are getting your time, allow you to record all of the interruptions you get during the day, discover if you’re giving your time to things that matter.

You might not see it at first, but making the space in your days to keep track of what you’re doing and what happens during the course of your day will give you valuable information. What you see on the front end is just a list of things you did, how much time it took to do each what things actually got some or all of your time. When you look much closer, you see…

  • Exactly what things you’re giving your time to
  • How you prioritized things and where you made the mistake of putting one thing before another
  • How to determine the importance of the things on your agenda moving forward
  • What interruptions tend to happen and which ones you allow
  • The difference between what got done and the things you had on your to-do list and what kept you from the important things

The biggest insight you’ll gain is seeing what your biggest time wasters are right before your own eyes. That’s priceless because it gives you the big picture. You’ve got to know what the reason for the problem is before you can create or apply a solution for it and logging your time does exactly that for you.  If you don’t know where your day is going, why things aren’t getting done and always feel pressed for time, chances are you’re wasting time. Many people were experiencing that frustration at the end of the year, and although we’ve crossed over into a new year, the frustration remains. Typically, when you cross over into a new year, you have great aspirations and big goals you want to accomplish, but there’s this thing that keeps you from it, making it take even longer for you to get from point A to point B.

Being caught up in all there is to do doesn’t help your quest and it doesn’t line up with the energy of having a nice, fresh new year to dive into. You’re being pulled in multiple directions, you have no idea where your time is going and the pressure is on, causing chaotic disorganized days. To make matters worse, your calendar looks like an over-stuffed closet and you have 101 things hanging out in the most dangerous place in the world—your head.

We’re at the start of a new year and if this is the way things are in your world right now it’s time to take the reins. You’ve got an entire year ahead of you, new goals and dreams to follow so now is the time to take the steps to empower yourself. Empowering yourself means learning exactly where your time is going, realizing what things are wasting your time, and knowing what kinds of things are interrupting your flow every day. You can do each of these by tracking your time for about five days. Each day when you start a task, write it down. While you work, keep track of the interruptions you get and how long you work on each thing. Be sure to note the level of importance for the items you work on. It might seem a tedious, but detailing everything you do will give you access to some great information once the five days is up. Once you’re done tracking you do you can see what things are actually getting your time, the kinds of interruptions that come into play and whether or not you’re focusing on the things that will help you accomplish those goals you created. The information you get out of this process is gold because you have to be able to know what’s really going on so you can address the problems.

It’s time for a clean slate and a new way of operating. Take the reins and take control of your days and your year by equipping yourself to have a better day-to-day experience and actually get things done, achieve the goals and dreams you created for this year. Let’s talk about your day to day experiences. Every day there are so many things going on that if you’re not careful, your day will have control of you and you won’t have a say in the matter. I’m pretty sure you’ve had the experience that I’m talking about. You’ve got a full day, things that keep popping up and you’re trying to maneuver the landscape of the things on your agenda along with interruptions, social media, multiple devices and the challenges you have. That’s quite a mix and of course this is what you want to shift away from, so let me share a few ways that are probably wasting your time and give you some help with those time wasters.

Doing Irrelevant Things– How much time do you give to the mail, social media, accounting tasks, the marketing, etc? Many are focused on these things  instead of the things that generate revenue. If this is where your time is going, you don’t have much of it to give to your expertise so your focus isn’t contributing to your bottom line. Delegate the things that you don’t have to be the one to do so you can focus on what you’re good at and bringing that to your clients.

Being Effective But Not Efficient-You might be doing the right things, but doing them in an inefficient way. Efficiency is doing things the right way and effectiveness is doing the right things. So here the problem is being effective, but not efficient. You’re on track doing the right things, just not going about them in a productive way. I see this a lot when it comes to repetitive tasks. The things that have to be done daily, weekly and monthly. Each time the wheel is reinvented instead of there being a system for said repetitive tasks. The solution here is to document the tasks so that anyone you delegate them to has clear picture of what has to happen. Create templates or forms to support the process if they’re a fit. Save information needed such as login details and have them readily available. These are things that will help streamline the process.

Technology-Technology is changing every day and honestly I think that the more it advances, the more it consumes people. There are our phones, apps, email and social media that for the most part keep people caught up during the day. First off, open your email when you need to check it and don’t make that first thing in the morning. When you’re done, close it and check it again later. Be sure you designate when you’re checking email and stick to it. Use folders and filters to help sort your email or better yet, try a tool like SaneBox that will keep your inbox clean. Create a social media plan and get someone on board to create and make some of your posts or set them up in something like Hoot Suite so you can cut down on the time you give to social media posting. Of course you don’t want to automate everything.

 


Growing More TimeWe all know that there is really isn’t a way for us to get more time in our day, but so many times you’ve wised for it. The magic number is 1,440. That’s the number of minutes we get in every day. How we invest it is what makes a different. As much as you wish for it, you aren’t getting any more time, but you can shift your perspective and your approach to how you manage things. Here are seven things that you can do right now to add more time to your day by making that shift.

  • Handle things once. That means paperwork, email and voice mail messages. When you are in the midst of the paper work, email and voice mail, take instant action. Determine what to do with the paper work; decide whether to read it, reply to it, place it in your to-do file, delegate, file or trash it. Treat email and voice mail the same way. While you’re checking email at the designated time reply, call back or add it to the calls you’ll make at a designated time. The time you save can add up to more than 8 hours over the course of a month.
  • Be decisive!  Make the choice and keep it moving. The time wasted around decisions slows down your ability to take action. This can give you about an hour in your day.
  • Put it in writing. Writing things down makes a big difference when it comes to getting things done and the amount of time they take. If you’re forever thinking about the things that you have to do, your productivity suffers greatly. I tell clients all the time that it’s not real until you write it down. It clears your mind so that it’s free and you can focus.
  • Turn off the technology during your Prime Time™. Figure out the time of day when you’re at your best mentally and physically and use that period to tackle your top priorities. During that time, close your email, turn off the phone and get it done.
  • Curb the time wasters. There are things that seriously suck the time away from what’s important. Email, the internet, social media and sometimes the phone will all have you wanting time. Be conscious of the amount of time you spend on each. Use a timer while engaging in those activities if necessary. It can give you back an hour.
  • Prioritize you work. Know the priority for each of the tasks that are on your list. When you prioritize you’re not guessing about what has to be done, you already know. Knowing the value and importance of each task makes it easy to know what’s important and what you need to delete from your list.
  • Delegate. It can be hard to do, but it’s necessary. Make a list of the things that need to be done that don’t require your expertise. Find someone you trust, like a virtual assistant to handle those things so that you can focus on the things that generate revenue. It will give you back some time as well as allow you to increase you bottom line.
